Back in November 2022, a Shenzhen company approached us with a tricky import request. They needed to move 8 large wooden crates of electronic components and machinery from Hong Kong into Shenzhen.
The challenge wasn’t just the distance. It was the combination of oversized, heavy cargo and the extremely strict cross-border health and customs protocols in place at the time.

The Setup: Heavy Cargo, Strict Rules
To give you an idea of the project scope:
The Cargo: 8 x Wooden Crates of Electronics & Machinery (Oversized & Overweight).
The Vehicle: 10-Ton Cross-Border Truck.
The Route: Hong Kong to Shenzhen via Liantang Port.
The Goal: Safe, compliant import with seamless customs clearance.
As soon as we reviewed the packing list and invoice, we knew standard procedures wouldn’t cut it. We identified three main hurdles we had to clear.
Challenge 1: The Heavy Lifting
The cargo was physically difficult. The crates were too long and too heavy for standard loading docks. If we sent a regular truck without preparation, the driver would arrive in Hong Kong and be unable to load.
Challenge 2: The Data Synchronization
Cross-border trucking requires perfect synchronization between Hong Kong and Mainland customs. The manifest data, the “Six-Part Form” (Liulian Dan), and the import declaration all have to match perfectly. One data error means the truck gets turned back at the gate.
Challenge 3: The “Relay Race” Logistics
At the time, cross-border trucking involved a complex system of “driver swaps” and disinfection zones (the “shuttle” system) to comply with health regulations. Managing the hand-offs between the HK driver, the shuttle driver, and the final delivery driver required precise timing.
Our Solution: A Step-by-Step Breakdown
We didn’t just book a truck and hope for the best. We managed every inch of the journey.
Step 1: Specialized Loading Gear We solved the loading issue before the truck even left. After analyzing the crate dimensions, we coordinated with our Hong Kong team to deploy two electric forklifts specifically for this pickup. We ensured the equipment was on-site and ready when the truck arrived, ensuring safe handling of the high-value machinery.
Step 2: “Seamless” Customs Integration Speed at the border comes from preparation.
The Setup: We selected the Liantang Port for entry.
The Data: Our Shenzhen customs team pre-entered the manifest data while simultaneously coordinating with our Hong Kong colleagues.
The Result: We achieved “Seamless Customs Clearance.” By the time the truck hit the border, the declaration was already released. We bound the vehicle information digitally, so the physical crossing was just a formality.
Step 3: Managing the “Last Mile” Relay This was the most critical part. We treated the transport like a relay race to ensure compliance with all regulations:
Border Crossing: The HK truck entered via Liantang Port for the first round of disinfection and static waiting.
The Shuttle: We coordinated the “shuttle driver” to take the truck from the border to the Longgang Comprehensive Transfer Hub.
The Hand-off: After secondary disinfection, a domestic driver took over to bring the vehicle to the final unloading point.
We tracked the vehicle through every checkpoint, coordinating the unloading immediately after the final disinfection period to get the goods into the client’s warehouse ASAP.
Results & Benefits
Despite the heavy regulatory burden and the difficulty of the cargo itself, the operation ran like clockwork.
Zero Loading Issues: The pre-arranged forklifts meant the heavy crates were loaded safely.
Smooth Clearance: Thanks to our “Seamless” declaration prep, the truck didn’t face any customs delays.
Happy Client: The client was impressed by how we simplified a very complicated process. In fact, just one week later, they entrusted us with their second batch of imports.
