The Challenges

In January 2024, a large furniture manufacturer based in Foshan approached GWT Shipping to handle a massive shipment of 9 containers to Laem Chabang, Thailand.

The client was supplying furniture for a major hotel project in Southeast Asia, making the timeline non-negotiable. They were previously burned by a logistics provider who failed on two fronts:

  1. Unreliable Booking: Their cargo was frequently “rolled” (left behind at the port) due to poor carrier relationships.

  2. Documentation Errors: Data discrepancies in the Form E (ASEAN-China Free Trade Certificate) caused their Thai consignee to lose out on “Zero-Tariff” benefits, resulting in heavy financial losses.

Compounding the difficulty, this shipment was scheduled right before the Chinese New Year. The market was facing a severe shortage of trucking capacity (“hard to find a single truck”) and skyrocketing prices. The client needed a partner who could guarantee space and absolute documentation precision.

This guaranteed a transit time of just 4-5 days, perfectly matching the client’s urgent timeline.

2. Multi-Factory Trucking Coordination

The cargo needed to be loaded from three different factories across Foshan and Zhongshan. Despite the pre-holiday chaos, our dedicated trucking fleet team utilized early resource locking. We secured sufficient vehicles at the client’s standard contract rates—shielding them from market price surges—and synchronized the loading at all three locations simultaneously.

3. Zero-Defect “Form E” Management

To ensure the Thai consignee received the Zero-Tariff benefit, the Form E data had to match the Bill of Lading exactly. We implemented a strict three-step verification process:

  • Precision Weighing: Empty containers were weighed before loading, and full containers were weighed immediately after to generate accurate VGM (Verified Gross Mass) data.

  • Data Synchronization: Before customs declaration, we cross-referenced every item’s HS Code, piece count, and gross weight.

  • Result: We ensured the Customs Declaration, Bill of Lading, and Form E were mathematically identical, eliminating the risk of rejection by Thai Customs.

4. Nansha “Advance Declaration”

To minimize port dwell time, we utilized Nansha Port’s “Advance Declaration” system. We cleared customs while the containers were still en route to the terminal, ensuring they could be loaded onto the vessel immediately upon arrival without risk of inspection delays.

Despite the pre-holiday logistics crunch, all 9 containers were shipped on schedule and arrived in Thailand 5 days later.
